Bureau of Montgomery County, MD, Inc. is pleased to assist teams with hotel reservations
for the upcoming tournament. Please see below frequently asked questions and a
timeline for this tournament. Once you have read the information below, please visit
www.visitmontgomery.com/registration
to view participating hotels with their rates and descriptions under the 2008 Adidas
Potomac Memorial Tournament and to fill out your teams rooming list.

March 23, 2008
Accepted teams are posted by the tournament
March 24, 2008
The housing registration site, www.visitmontgomery.com/registration
will go “LIVE” and you will be able to view your tournament’s information.
April 24, 2008
Reservations must be made by no later than Thursday, April 24th by signing on
to the housing registration site.
May 1, 2008
The Conference and Visitors Bureau will notify teams of their hotel assignment.
May 2, 2008
Team Cancellation Deadline: Teams cancelling 50% or more of their room block after
May 2nd, will forfeit their one night’s room and tax deposit.
May 9, 2008
Hotels will send confirmation numbers for each individual reservation to each team.
May 20, 2008
Individual Cancellation deadline: Individuals can cancel rooms as long as it does
not equal 50% or more of their teams total room block up to 72 hours prior to arrival.
FAQ’s
1.
How do I register my team?
a.
Visit the housing registration site at
www.visitmontgomery.com/registration.
If you are a first time user, you would click on the “click here to
register.” Once you have registered, you will sign in with your login (your
email address) and your password you created. Under the 2008 Adidas Potomac Memorial
Soccer Tournament, you will see two links. One will bring up information on the
cancellation policies, deadlines, and the participating hotels with their rates and
descriptions. The second link is your housing reservation/rooming list form.
You will enter all information requested on the form. You are able to sign back in
to the housing registration site to update this form at anytime up until the deadline of
April 24th. Please make sure to hit “submit” at the bottom of
the form if you have made any changes.
2.
What if I want to be with another team?
a.
There is a section on the housing
reservation form that will allow you to enter the name of another team you are requesting
to be with. Please note, we will do our best to place teams that are requesting to
be together at the same hotel, but we cannot guarantee this. If you request to be
with a team, please also note, that this will override your top hotel choices to try to
accommodate this request. Also, this will only be honored if both teams request to
be together.
3.
How are teams placed into hotels?
a.
We do our best to honor all teams placing
requests, however, we cannot guarantee all team’s hotel choice requests. Hotels
can provide a certain amount of rooms, so if teams are requesting the same hotels, those
hotels are booked first.
4.
Is your site a secure website?
a.
Yes, our site is a secure website.
5.
Do I need a credit card number for each
individual?
a.
Yes, we will need a credit card number
next to each individual reservation name on your teams reservation form. You can
hold all rooms under one credit card. Please be advised, that on May 2, 2008, some hotels
will charge a one nights room and tax deposit for each room. Also, please note, that
if you do not have all credit card numbers when you are completing your reservation form,
you still should submit your form as you can go back and add any information up until
April 24th.

Can individuals on my team call the Conference and
Visitors Bureau with their credit card number?
a.
No, all information must be submitted
online. If you do want to input each individuals credit information, you can give
all members on your team the login and password to the housing registration site.
Each team member can go into the housing reservation form and put their credit card number
next to their name that you filled out. Once a credit card number is entered onto
the housing reservation form, the credit card number is masked. So, the next time
anyone logs into the system, they will only see the last 4 digits. Example:

After your deadline of April 24th, what
do I do if I need to make a change to my rooming list?
a.
On April 24th, the
Conference and Visitors Bureau (CVB) will close the housing registration site so we can
place all teams into their assigned hotels. On May 2nd, the CVB will
notify teams of hotel assignments. On May 9th, the hotels will send you
the confirmation numbers. Once the hotel has sent you the confirmation numbers, you
can now make any changes to your rooming list by calling the hotel directly as the CVB
cannot view the hotels reservation systems.
8.
What if my team does not make it to the finals on Monday
and we need to check out on Sunday?
a.
All reservations automatically
reserved for check in on Friday and check out on Monday. All participating hotels
are aware that some teams will not make it to the finals on Monday, and will check out on
Sunday. Each hotel does have different check out time policies, so once you have
received your hotel assignment, please contact your hotel directly to get their policy for
Sunday check outs.
9.
Will the credit card numbers be charged a deposit?
a.
Hotels may charge a one night’s
room plus tax deposit for each individual reservation on May 9th, 21 days prior
to arrival.
